If your Trello board has 200+ active cards and nobody can find anything, you have board overflow. The fix is structural, not adding more Power-Ups.

What you'll need
Step 1
Count cards per list. Count stale cards. Inventory open vs. archived. Numbers reveal the issue.
Open the board. Count cards per list.
Identify stale cards: anything not touched in 30+ days while in active lists.
Count cards in Done that have not been archived: any number is too many. Done should auto-archive.
Count list count: above 7 lists, you have structural overflow.
Numbers tell the story: 200 active cards across 12 lists with 80 stale ones is overflow.
Step 2
Anything in Done over 30 days. Anything stale in active lists over 60 days. Archive is cheap and reversible.
Board menu → Filter cards → Filter by "Inactive 30 days."
Bulk archive: select all → Archive.
Set up Butler rule: any card in Done for 30 days, auto-archive.
Archive is reversible — you can search archived cards anytime.
A board with 50 active cards is usable. A board with 200 is not.
Step 3
If you have 12+ lists, half are likely sub-categories that should be labels or custom fields.
List every list name. Group by semantic similarity.
Workflow stages (Ideas, In Progress, Done): keep as lists.
Categories (Blog, Email, Ad, Social): convert to labels or Content Type custom field.
Time-based ("This week," "Next week"): convert to due-date-based filtering.
Aim for 4-7 lists total. Use labels and fields for sub-categorization.
Step 4
Card Aging Power-Up adds visual decay to stale cards. Surfaces overflow at a glance.
Power-Ups → Add → Card Aging → Enable.
Stale cards (30+ days inactive) appear faded.
Very stale cards (90+ days) appear cracked/torn.
Visual signal makes ignoring overflow harder.
Use as a forcing function during weekly review: anything aging should be archived, reassigned, or actioned.
Step 5
If a single board hosts 3 distinct workflows, split into 3 boards.
If your board has: content cards + campaign cards + admin tasks, split into Content, Campaigns, Ops boards.
Use Premium Workspace views (Calendar, Timeline, Dashboard) to see across boards.
Each board stays focused on one workflow type.
Cross-board cards (e.g., "Content for Q2 campaign") can exist on both via Trello's card sharing.
Step 6
15 minutes weekly prevents overflow from compounding. Non-negotiable.
Friday: 15-min board review.
Archive anything in Done.
Action or archive any stale card (no movement 30+ days).
Triage Backlog: convert old ideas to dated cards or archive.
Update labels and custom fields on cards that missed them.
Documented in the board description so the team knows the rhythm.

Never archiving
What goes wrong: Done list balloons to 300+ cards. Active lists have 200+. Nobody can find anything.

Too many lists
What goes wrong: 12+ lists. Horizontal scroll. Team cannot scan board. Adoption drops.

No Card Aging
