The Looker Studio template gallery saves you 6+ hours per dashboard. A custom brand theme adds another 2 hours of consistency. Combined, they turn 'every dashboard is a snowflake' into 'every dashboard launches in 30 minutes.'
Who this is forAnyone building 2+ Looker Studio reports for the same business. Once you've built a second report from scratch with the same colors and fonts as the first, you've already lost the time a template would have saved.
What you'll need
Step 1
For every new dashboard, check the template gallery first. Google maintains 50+ templates for common use cases — many are good starting points.
Looker Studio Home → Template Gallery (top of the page). You'll see categories: Marketing, Sales, Travel, Sample reports, etc.
For most marketing dashboards, look at: 'GA4 Acquisition Report,' 'Google Ads Overview,' 'YouTube Channel Report,' 'Search Console Performance.' All are Google-maintained and stay current.
Pick a template close to what you need. Click 'Use template.' The template opens with sample data attached.
Top-right: 'Edit and share.' Replace the sample data source with yours: Resource → Manage added data sources → click the sample source → Edit → swap to your real source.
Every chart now uses your data. Layout, colors, and structure are pre-built. You've saved 4-8 hours.
Step 2
In any report, Theme and layout (top-right) → Customize → set fonts, colors, chart styles. Save the theme for reuse.
Open any report. Click 'Theme and layout' (top-right of the toolbar).
In the Theme panel → Customize. You'll see Font, Background color, Heading color, Chart colors, Text color, Border styling.
Set Font to your brand font (or a Google Font equivalent). Roboto, Inter, and Lato are safe choices that match most brand styles.
Set chart colors: 6-8 colors from your brand palette. Use the Primary color for the dominant data series, supporting colors for secondary, neutral grays for axis lines.
Set headings to your brand color (often a darker shade). Set body text to a neutral dark gray (#333333 or similar) for readability.
Save the theme: click Save (top of theme panel). The theme is now available in any report you own.
Step 3
When creating a new report, before adding charts, apply your saved theme. New charts automatically inherit the styling.
Create a new report (any path — from data source, from scratch, from template).
Immediately click Theme and layout → Theme → My themes → pick your saved theme.
The report background, font, and default chart colors update. Any new chart you add inherits these defaults.
If you applied the theme to an EXISTING report with charts, those charts may not retroactively pick up the new theme. You'll need to right-click each chart → Style → Use theme.
Always apply theme BEFORE adding charts. Saves the retroactive cleanup work.
Step 4
Once a report is well-structured, save it as a template for future reports. Looker Studio doesn't have a "save as template" button — use Copy.
Build a report you're happy with: 3-5 pages, proper data sources, calculated fields, controls.
File → Make a copy. Name it "TEMPLATE — Acme Marketing Dashboard." This is your master template.
Move the template to a 'Templates' folder in your Drive for easy finding.
When starting a new dashboard: open the template, File → Make a copy. Now you have a clean copy with all structure intact.
Swap the data sources to point at the new project/client data. Update titles, page names, and any client-specific content. New dashboard is ready in 30 minutes instead of 8 hours.
Step 5
Every branded dashboard needs a consistent header: logo (top-left), title (centered or left-aligned), date control (top-right).
On Page 1, top of the canvas. Click Insert → Image. Upload your logo (PNG with transparent background, 200-400px wide).
Position top-left. Resize to ~80px height.
Insert → Text. Type 'Acme — Marketing Performance.' Set font to your brand font, size 20-24px, bold.
Insert → Date range control. Position top-right. Set default to Last 28 days. Make it report-level so it persists across pages.
Save this header as the standard. Copy-paste to every page in the report (Cmd+C/Cmd+V works across pages).
For client-facing reports, also add a small footer (Insert → Text, font 9px, gray) with "Built by [your company]" or "Data refreshed every 12 hours." Builds trust.
Step 6
Within a templated report, set chart-level defaults that match your brand: padding, font sizes, legend placement, axis styling.
Click any chart → Style tab (right panel). Note the default settings.
Standardize: Chart background = white, Border = none (or subtle 1px light gray), Font size = 10-11px for labels, 14px for chart titles.
Legend: Top-right (most common) or Bottom (if labels are long). Avoid Right — eats horizontal space.
Axis labels: keep on. Gridlines: subtle (#EEEEEE or similar). Tick marks: off (cleaner look).
Apply consistently. Right-click chart → Style → Copy style. Right-click target chart → Paste style. Speeds up the standardization.
Step 7
Add a "How to use this template" page or external Doc explaining the structure, data sources, calculated fields, and customization steps.
Add a hidden page (right-click page → Hide page in view mode) titled "Template documentation."
List: data sources used and how to swap them, calculated fields with their formulas, controls and their scope, brand colors with hex codes.
Note any quirks: 'Replace Acme Sample data source with client data source. Update logo. Update page titles.'
When you (or a teammate) builds the next dashboard from this template, the doc reduces 'wait, what was this for?' time from 30 minutes to 5.
Update the doc whenever you update the template. Five-minute investment per change saves an hour of future archaeology.
Common mistakes
Building from a blank canvas every time
What goes wrong: Each new dashboard takes 8-12 hours instead of 30 minutes. Over a year, building 6 dashboards costs 60+ hours of avoidable work — easily $4,000-9,000 in time at typical agency rates.
How to avoid: Start from a template (Google's gallery or your own). Save a master template after the first well-built report. Reuse forever.
Inconsistent colors and fonts across reports
What goes wrong: Six dashboards, four different fonts, three different blues. Stakeholders can't tell at a glance which dashboard is the 'real' one for any given metric. Confidence erodes. Time wasted asking 'is this the latest version?'
How to avoid: Build a brand theme once. Apply to every new report. Audit existing reports and apply retroactively over a quarter.
Logo file in wrong format (no transparency or low-res)
What goes wrong: A 600px logo on white background looks fine until you put it on a dark background. A 80px JPEG looks pixelated in the PDF export. The dashboard looks amateurish — and amateur-looking dashboards lose stakeholder trust.
How to avoid: Use a transparent-background PNG, 200-400px wide, exported at 2x for retina. Store in a known location for easy finding.
Hardcoding client-specific content in the template
What goes wrong: Your 'master template' has 'Acme' hardcoded in every page title. When you build a dashboard for the next client, you have to find-replace 30 references. You miss one. Client sees 'Acme' on page 4. Embarrassing.
How to avoid: Use placeholder text in templates: '[CLIENT NAME] — Marketing Performance.' When copying, search and replace placeholders in one pass.
Not documenting the template
What goes wrong: Six months later, you don't remember why a chart has a specific filter or why a calculated field is structured a certain way. You spend 45 minutes reverse-engineering before being able to customize for a new project.
How to avoid: Add a hidden Template documentation page. List data sources, calculated fields, controls, and any quirks. 10 minutes of docs saves an hour of confusion.
